What we collect

Information you give us. When you fill in a form on our site (Contact Us, Inquire, the Odoo and Global Shop consulting pages, or Help), email us, or call us, we collect what you choose to provide. Depending on the form, that can include:

  • your name, work email address, and phone number
  • your company name, job title, and company size
  • your country and state or province
  • details about your ERP system, hosting, and what you need help with
  • your message, and any files you attach to a help request

Information collected automatically. When you visit our site:

  • Our website platform sets essential cookies that keep the site working and remember your language choice.
  • If you accept analytics cookies, Google Analytics collects information about how you use the site, such as pages visited, time on page, the site that referred you, approximate location derived from your IP address, and browser and device type.
  • Some of our forms use Google reCAPTCHA to block spam. reCAPTCHA collects device and usage information and is subject to Google's Privacy Policy and Terms of Service.
  • Our web servers keep standard technical logs, such as IP address, date and time, and the page requested.

We do not ask for sensitive information such as financial account numbers, health information, or government ID numbers through our website. Please don't include it in a form or attachment.

Why we use it

We use your information to:

  • answer your questions and respond to requests for information or quotes
  • provide support when you submit a help request
  • follow up with you about OYBI services you asked about
  • run, secure, and improve our website and protect it from spam and abuse
  • understand, in general terms, how visitors use our site (only if you accept analytics cookies)
  • keep business records and meet our legal obligations

We use your information only for the purposes above or for purposes you would reasonably expect from your contact with us. If we want to use it for a new purpose, we will ask you first where the law requires it.

Consent and your choices

By submitting a form or contacting us, you agree that we may use the information you provide to respond to you and follow up about what you asked for. You can withdraw that consent at any time by emailing sales@oybi.com. Withdrawing consent means we may not be able to help you with your request.

If we send you marketing emails, you can unsubscribe at any time using the link in the email or by emailing sales@oybi.com.

Cookies and analytics

When you first visit our site, a cookie banner lets you choose:

  • Only essentials: we set only the cookies the site needs to work (for example, session_id for security and frontend_lang for your language).
  • I agree: we also allow Google Analytics cookies (for example, _ga), which help us understand how visitors use the site.

Analytics cookies are off until you accept them. You can change your mind at any time by clearing cookies for oybi.com in your browser, which brings the banner back. You can also block cookies in your browser settings or use Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout). See our Cookie Policy page for the full list of cookies.

Who we share it with

We do not sell your personal information.

We share personal information only with service providers who help us run our business and act on our behalf, and only as needed for the services they provide to us. These include:

  • Business software providers: companies that host our website, forms, customer records, email and office tools, and that supply the artificial intelligence features described in "How we use software tools, including artificial intelligence". We currently use Odoo, hosted on Odoo.sh, and Microsoft 365.
  • Website analytics and spam protection: Google (Google Analytics, only with your consent, and reCAPTCHA).

We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganization of our business.

How we use software tools, including artificial intelligence

We use business software from outside providers to run OYBI. Some of it includes artificial intelligence (AI) features. We use these tools to help our team sort and route inquiries and support requests, draft replies and documents, and carry out project work such as configuring and testing software for our clients. Your information may be processed by these tools when it is part of that work.

People at OYBI oversee these tools and are responsible for the work they help produce. We do not use them to make decisions about you that are based only on automated processing and that have legal or similarly significant effects on you. If that changes, we will tell you before the decision is made. You may then ask what information was used, the main reasons for the decision, and to have a person review it.

We do not sell your information. Our providers may only use it to provide their services to us. Our providers may process and store information outside your province or country, including in the United States.

Where your information is processed

OYBI is based in the United States. Our service providers may store and process information in the United States or other countries. If you are in Canada, including Quebec, your information will be transferred to and processed outside your province and outside Canada, and it may be accessible to courts, law enforcement, and other authorities in those countries under their laws.

How long we keep it

We keep inquiry, support, and contact information for as long as we have an active or potential business relationship with you or your company, and afterward only as long as we need it for business records, tax, or legal reasons. When we no longer need it, we delete it or make it anonymous. You can ask us to delete your information sooner (see "Your rights").

Analytics information is kept in Google Analytics according to the retention setting on our account.

Your rights

Wherever you live, you can ask us to:

  • tell you what personal information we hold about you and how we use it
  • give you a copy of it
  • correct information that is wrong or incomplete
  • delete your information, unless we need to keep it for legal reasons
  • stop using your information for marketing

Canada. Under Canadian privacy law, including Quebec's privacy law, you have the right to access and correct your personal information and to withdraw consent. Quebec residents may also ask how their information is used and request that it no longer be disseminated where the law provides. If you're not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.

United States. Some US states give residents additional privacy rights. If one of these laws applies to you, we will honor the rights it gives you. We will not treat you differently for exercising your privacy rights.

To make a request, email sales@oybi.com with "Privacy request" in the subject line, or write to us at the address above. We may need to confirm your identity before acting on a request. We aim to respond within 30 days and will tell you if we need more time.

Children

Our site and services are for businesses. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us personal information, contact us and we will delete it.

Security

We use reasonable administrative, technical, and physical measures to protect personal information, and we limit access to people who need it for their work. No website, email, or storage system is completely secure, so we cannot guarantee the security of information you send us. If a privacy incident creates a risk of harm to you, we will notify you and the authorities where the law requires.

Changes to this notice

We may update this notice from time to time. When we do, we will post the new version on this page and change the "Last updated" date. If we make a significant change, we will make it noticeable on the site.
